AI assistants
Connect Claude, ChatGPT, Cursor, or another assistant to your workspace to review candidates, rediscover talent, and start work with your confirmation.
You can work with ProBB AI from the AI assistant you already use. Once you connect it, you can ask in plain language, for example "who are my top candidates for the Backend Engineer role?", and the assistant answers from your workspace. AI assistants are included in every plan.
What you can do
Your assistant can:
- Find candidates, jobs, and reports by name.
- Shortlist a job's candidates, ranked best first, and compare two to five finalists side by side.
- Give a candidate brief: fit, strengths, concerns, requirements, interview result, integrity warnings, and the decision so far.
- Quote interview evidence to answer questions such as "what did she say about on-call work?".
- Rediscover talent: search the candidates already in your workspace for people who fit a job.
- Record a hiring decision with a note, and save a job.
- Add a candidate with their details or resume text.
- Analyse candidates against a job and invite a candidate to an interview. Both cost credits, so the assistant tells you the cost first and continues only when you say yes.
Where the assistant supports it, shortlists, comparisons, and candidate briefs also appear as a compact card in the conversation.
Connect an assistant
- Open Settings and select AI assistants.
- In Connect an assistant, choose Copy address to copy the Probb MCP server address.
- In your assistant, add a custom connector (in some assistants this is called a custom MCP server) and paste the address.
- Sign in to ProBB AI when prompted and choose the organisation you want the assistant to use.
- Review what the assistant can do, untick anything you don't want it to do (for example, starting work that uses credits), and approve.
Your connected assistants then appear under Your assistants, with when each was connected and last active. Select Disconnect to remove one at any time.
Permissions
An assistant acts as you, with your role in the selected organisation and only the permissions you left ticked when you connected it.
-
You choose what it can do. Reading is always included. You can switch off saving changes (jobs, candidates, decisions) and starting work that uses credits; switching off saving changes also switches off spending. To change your choice later, disconnect the assistant and connect it again.
-
Viewers can only read. An assistant connected by a Viewer can look at candidates, shortlists, and briefs, but cannot record decisions or start work.
-
Spending needs your confirmation each time. Analyses and interview invites show a cost before anything starts. An earlier "yes", or a general instruction such as "always go ahead", does not stand in for a confirmation.
-
The same allowance applies as in the app. Credits and monthly quotas are counted exactly as they are for work you start yourself, and the same limits can block an action.
-
The assistant acts when you ask. Text inside resumes, interview transcripts, and job descriptions is treated as information only, never as an instruction.
See roles and permissions for what each role can do in the app.
For admins
Under Settings, then AI assistants, admins also see:
- Allow AI assistants: a switch that lets members connect assistants to the organisation. Turning it off shows Turn off AI assistants? first. Connected assistants stop working immediately; their connections are kept, so turning the switch back on restores them.
- Everyone's assistants: every assistant connected to the organisation, by member. Select Disconnect to remove one.
Members can connect assistants while the switch is on. Viewers' assistants can only read.
Privacy
- Contact details such as email addresses and profile links are left out of what an assistant sees unless you explicitly ask for them in a candidate brief. That request is recorded in your organisation's activity log.
- Everything an assistant changes is recorded under your name. Candidates it adds, resumes it updates, analyses it starts and interviews it sends are marked as made by an AI assistant (for example, "Candidate added by an AI assistant"). Admins review workspace history in Activity.
- Disconnecting an assistant ends its access. Review security and data for how ProBB AI handles workspace data.
Troubleshooting
The assistant says AI assistants are turned off. An admin has turned them off for the organisation. Ask an admin to turn on Allow AI assistants in Settings.
The assistant stopped working or asks you to sign in again. Its connection may have been disconnected, by you or an admin. Check Your assistants; if it is gone, add the connector again with the same address.
It is connected to the wrong organisation. When you sign in, ProBB AI asks which organisation to use. Disconnect the assistant, add it again, and choose the right organisation.
It cannot save, record, analyse, or invite. Check your role: Viewers are read-only. An analysis or interview may also be blocked when your allowance or active-work limit is used up, just as in the app.
You cannot copy the address. Select the address field and copy it by hand.
