Candidate repository

Manage reusable candidate profiles, resumes, duplicates, and linked reports.

The Candidates workspace gives each organisation a reusable candidate repository. Search by name, email, role, domain, or location, sort by Recently updated, Newest first, Oldest first, or name, and choose Cards or Table on a larger screen; ProBB AI remembers your choice, and phones always show cards. Candidates without a name appear at the end of a name sort.

Add a reusable candidate

Members and Admins can create and edit profiles; Viewers can inspect them. In Candidates, use the create action, enter the available identity details, and attach a resume if you want reusable evidence. Confirm the active workspace before saving.

If a resume is attached, wait for extraction and check the resulting profile. A saved profile and a completed role analysis are different records: creating a profile does not create a hiring recommendation. Follow the profile's processing state and retry through the available action if extraction fails.

Candidate details

Open a candidate to review or edit name, email, LinkedIn URL, current role, experience, domain, location, and profile status. The detail view also shows linked reports and the attached resume.

For an attached resume, authorised users can preview extracted Markdown, download the original file, replace the file, or remove it. Replacing a resume updates the source for future analyses; it does not rewrite historical report evidence.

Create an analysis from a candidate

Choose the analysis action from a candidate card or detail dialog. ProBB AI carries the candidate into New analysis, where you can select or write a job description before starting.

Possible duplicates

Potential duplicate profiles are shown in the detail view. Compare identity and resume information before merging. A merge keeps the selected canonical candidate and reattaches compatible linked records; it is intentionally guarded by a confirmation step.

Delete a candidate

The confirmation shows linked reports and whether to delete them too. Keeping reports unlinks them from the deleted candidate profile. Deleting linked reports requires permission for each report and the displayed confirmation text. Review this choice before confirming.

Deleting a candidate initiates deletion of the supported active candidate record and associated stored resume when it is no longer referenced. Historical reports or external exports may remain and must be handled separately.

Work with several candidates

Members and Admins can select candidates with the checkbox on each card, or choose Select all in the selection bar to add every loaded candidate, up to 100. From the selection bar you can:

  • Export the selected candidates as a CSV file;
  • Delete the selected candidates. As with a single delete, you choose whether to delete their linked reports, and you type the confirmation text naming what will be removed. If you delete linked reports, you must be allowed to delete every one of them, and one request can remove up to 500 linked reports.

Use Export CSV above the list to download every candidate matching the current search, view, and sort, up to 5,000. The file includes name, email, current role, domain, location, experience, LinkedIn URL, status, profile status, number of linked reports, and creation and update dates. Viewers can export as well.
