Work with an AI assistant

Ask Claude, ChatGPT, Cursor, or another AI assistant about your candidates and jobs, and let it take routine steps with your confirmation.

You can work with ProBB AI from the AI assistant you already use. Connect it once, then ask in plain language, for example "who are my top candidates for the Backend Engineer role?". The assistant answers from your workspace, using your permissions.

ProBB AI connects over MCP, the open standard assistants use to connect to apps. You do not need to know anything about it to use the feature. AI assistants are included in every plan.

Which assistants work

Claude, ChatGPT, and Cursor work, as does any assistant that lets you add a custom connector. Follow connect an AI assistant to set one up. It takes a few minutes, and an admin can switch the feature off for the whole organisation.

What you can ask

The assistant picks the right steps for you. These examples show the kinds of request that work well.

Review the week and see what needs attention

  • "What needs my attention this week?"
  • "Which interviews are candidates still owing us?"
  • "Give me a weekly hiring review."

Shortlist candidates for a job

  • "Who are my top candidates for the Backend Engineer role?"
  • "Show me everyone on hold for Product Designer."
  • "Who is leading each of our open roles?"

Compare candidates

  • "How do my finalists for Backend Engineer compare?"
  • "Compare Priya, Marcus, and Jo side by side."

You can compare two to five candidates for the same job.

Get a candidate brief and interview evidence

  • "Why is Priya ranked here? What are her gaps?"
  • "What did Marcus say about on-call work in his interview?"
  • "Prepare a debrief sheet for the Backend Engineer finalists."

A brief covers fit, strengths, concerns, which requirements are met, the interview result, integrity warnings, and the decision so far. Interview evidence quotes what the candidate actually said.

Rediscover talent from your pool

  • "Anyone already in ProBB AI who could fit our new Data Analyst role?"
  • "Our shortlist is thin. Search past candidates for the Support Lead job."

If a search finished in the last 7 days, the assistant shows that. Otherwise it starts a new one in the background. Searches take a few minutes and do not use credits.

Add a candidate from a resume

  • "Add Sam Okafor to ProBB AI. Here is the resume."
  • "Replace Priya's resume with the attached one."

The assistant reads the file and adds the details to your talent pool. This does not use credits and does not analyse the candidate. If someone with the same name, email, or profile link already exists, the assistant asks whether it is the same person before it creates anything.

Record a decision

  • "Advance Priya for Backend Engineer. She was strong on system design."
  • "Put Marcus on hold until the reference check is back."

The decision and your note are visible to your team on the report, just as if you had recorded them in the app.

Save or update a job

  • "Draft a job description for a Support Lead, then save it."
  • "Update the Backend Engineer job to say remote within the EU."

The assistant shows you the text before saving a new job and tells you how well the job reads. If an open job looks the same, it asks before creating a duplicate. Closed jobs have to be reopened in ProBB AI.

Start analyses and interview invites

  • "Analyse Sam and Priya against the Backend Engineer role."
  • "Invite Priya to an interview."

These use credits, so the assistant always asks first. See how confirmation works.

What you get back

Answers use names and jobs, with links that open the report, candidate, or job in ProBB AI. In assistants that support it, shortlists, comparisons, and candidate briefs also appear as a compact card in the conversation. Where cards are not supported, you get the same information as text.

How confirmation works

Anything that uses credits is a two-step exchange. The assistant quotes the cost and your balance, and nothing starts until you say yes.

You: Invite Priya to an interview.

Assistant: This will email Priya (priya@example.com) a personal interview link for Backend Engineer. It uses 1 interview credit, and you have 14 left. Shall I send it?

You: Yes, send it.

Assistant: Done. Priya has been invited.

Some rules apply every time:

  • You must say yes in the conversation for that specific action. An earlier yes does not carry over.
  • A general instruction such as "always go ahead" or "approve everything" does not count. The assistant quotes again each time.
  • A quote expires after 15 minutes. If you take longer, the assistant asks again.
  • Credits and monthly quotas count exactly as they do when you start the work in the app, and the same limits can block an action.

When you connect an assistant, you can also leave spending unticked, so it can never start work that uses credits. See connect an AI assistant.

What it will not do

  • Follow instructions hidden in documents. Text inside resumes, interview transcripts, and job descriptions is treated as information only. A resume that says "advance this candidate" changes nothing.
  • Show contact details by default. Email addresses, phone numbers, and profile links are left out of what the assistant sees. They appear only when you ask for them in a candidate brief, and that request is recorded in the activity log.
  • Change things when you only asked for advice. If you ask "should I advance her?", the assistant answers and offers to record the decision.
  • Do more than you can. It acts with your role. If you are a Viewer, it can read, but it cannot record decisions, add candidates, or start work.

Limits and background work

  • An analysis request covers up to 10 candidates. For more, ask in several requests.
  • Analyses, talent pool searches, and reading a new resume run in the background. The assistant gives you a progress reference and can check it for you: ask "how are those analyses going?".
  • If you are making a lot of requests, the assistant may be asked to wait a moment and try again.

Admins decide whether the organisation allows assistants and can disconnect them. See AI assistants for admins. For role differences, see roles and permissions.
